Read me
- 1Read me: What it is, the plug-in steps, a guide to each tab, compatibility, licence and support.
- 2Settings: The company's name, currency symbol, the month your financial year starts and the alert tolerance. Then, per KPI: whether higher or lower is better, the monthly target, and whether the quarter adds the months up or averages them.
- 3Data: One Excel table, KPIData: a row per month, a column per KPI. 24 months of sample numbers for ten KPIs, from a made-up company called Brightwater Outfitters.
- 4Dashboard: Pick a month. Each KPI is set against the previous month, the same month last year and its target, with a status word. Three charts: revenue against target, gross profit against operating costs, and any KPI you choose against its target.
- 5.xlsx, no macros, sheets unprotected. Ten KPIs. Reads up to 120 months of history.
Rendered from the template's own layout with made-up numbers for Brightwater Outfitters, a company that doesn't exist.
What it answers
- Which of our numbers are off target this month, and by how much?
- Is this month better or worse than last month, and than the same month last year?
- Which KPI has been sliding for three months while nobody looked?
- Can I show the boss one tab instead of five?
- Is this quarter ahead of the same quarter a year ago?

Plugging in your own data
Six steps. The Read me tab repeats them.
- 1
On Settings, type your company's name, currency symbol and the month your financial year starts. Then set each KPI's direction, monthly target and quarter roll-up.
- 2
On Data, replace the sample rows with your own: one row per month, dated the first of the month. Rename the KPI headers if you like.
- 3
Add new months under the table. The Dashboard reads up to 120 of them.
- 4
Pick the month to look at on Dashboard.
- 5
Type the year your financial year starts in on Quarterly.
- 6
Delete the amber "Sample data, fictional" lines.
What your data has to look like
| Column | What goes in it |
|---|---|
| Month | a real date, the first day of the month (01/10/2026) |
| Ten KPI columns | one per KPI, in the order they are listed on Settings. The sample has Revenue, Gross profit, Operating costs, New customers, Churn rate, Average order value, Website visitors, Conversion rate, Support tickets and Customer satisfaction |
| Headers | rename them to your own KPI names |
Will it work on your machine?
| App and version | Works? | Notes | |
|---|---|---|---|
| Windows | |||
| Excel for Microsoft 365 | Yes | ||
| Excel 2021 | Yes | ||
| Excel 2019 | Yes | Excel 2019: fine. The formulas stick to SUMIFS, INDEX and MATCH, nothing that needs dynamic arrays. | |
| Excel 2016 | Partly | Excel 2016: should open and calculate. Some chart formatting may look different. | |
| Mac | |||
| Excel for Mac (Microsoft 365) | Yes | Excel for Mac (Microsoft 365): fine. Nothing in the file uses Power Pivot or macros, which is what usually breaks on a Mac. | |
| Browser | |||
| Excel for the web | Partly | Excel for the web: opens, calculates, slicers and drop-downs work. Editing gets slower in the bigger tabs. | |
- Uses an Excel table and plain formulas, so adding a month is just adding a row. Excel 2019 and later; no dynamic-array functions.

Probably not for you if
- You need daily or weekly numbers. This one thinks in months. The Google Sheets KPI Tracker does weeks.
- You want it to pull from your accounting software on its own. It reads what you paste, nothing more.
- You track more than ten KPIs. Ten is the number of columns the Dashboard is built around.

Questions people ask about this one
Is this the same as the free KPI Starter Lite?
Same idea, more room. Lite has 6 KPIs, 12 months and two charts. The full file has ten KPIs, 24 months of sample history, targets and directions on a Settings tab, a month picker, three charts and the Quarterly tab.
Can I use it for KPIs that aren't money?
Yes. The sample already tracks rates and counts: churn rate, conversion rate, support tickets, customer satisfaction. Rename a header, set its direction and target on Settings, and choose on the same row whether a quarter adds the months up or averages them. Add up money and tickets; average rates.
Our financial year starts in April. Does that work?
Set April as the first month on Settings. The Quarterly tab groups the months into your financial-year quarters, and you type the year the financial year starts in.
How much history can it hold?
The Dashboard reads up to 120 months. The sample has 24. Add months by typing under the table.
