ReadyHearthstone FabricationSample data, fictional

Rendered from the template's own layout with made-up numbers for Hearthstone Fabrication, a company that doesn't exist.

What it answers

  1. What's the P&L this month and year to date, laid out the way finance expects it?
  2. Which cost centres and accounts are over budget?
  3. How do I get Power BI to show P&L lines in my order, with gross profit, EBITDA and net income?
  4. Can several companies sit in one report, with a filter to switch?
  5. How do actuals compare with budget, month by month?

What's in the kit

SheetWhat it does
Sample data workbook (.xlsx)Excel tables: FactGL (4,356 rows, monthly by account, entity and cost centre), Budget (3,267 rows, P&L accounts only), DimAccount (with the P&L and balance-sheet mapping), DimDate, DimEntity and DimCostCentre. Three made-up entities of Hearthstone Fabrication. Balance-sheet balances are there for every entity and month.
DAX measures (.dax text file)40 measures, each with a one-line comment and the number format to give it: P&L lines, margins, budget and variance, and the balance sheet, plus a DimDate table in DAX. Written for Power BI Desktop.
Theme (.json)Colours and text styles for the report.
Build guide (PDF, 5 pages)Loading the tables, the relationships, the measures, the theme and the four pages. P&L rows are monthly movements and balance-sheet rows are closing balances; the guide explains the difference.
README.txtWhat is in the kit and the quick steps.
FormatStarter kit (.zip): sample data workbook, theme, DAX measures, build guide. For Power BI Desktop (Windows, free). There is no ready-made .pbix or .pbit in this version.

Pages the build guide walks you through

Overview
The headline numbers for the month you pick.
P&L breakdown
Revenue down to net income by P&L line, in your account order.
Budget vs actual
Actual against budget with the variance, by P&L line and by month.
Balance sheet and cash
Closing balances and cash by entity and month.

Plugging in your own data

Build on the sample data first. Then:

  1. 1

In Power BI Desktop, load the sample workbook (Get data > Excel workbook) and build the pages by following the guide.

  2. 2

Export monthly totals by account from your accounting software, with entity and cost centre if you use them.

  3. 3

Fill DimAccount: each of your accounts, whether it is P&L or balance sheet, its report group and its sort order. One-off job.

  4. 4

Put your budget in the same shape as the ledger (P&L accounts only).

  5. 5

Change the Power Query source to your workbook and press Refresh.

What support covers
Support covers how the template works and anything that's broken. Rebuilding it around a different data structure is custom work, and we're happy to quote for that.

Probably not for you if

  • You want to open a finished report file and press Refresh. In this version you build the pages from the kit.
  • You need an indirect cash-flow statement that bridges profit to cash. The Excel Finance Overview has a twelve-month cash bridge; this kit works from balances.
  • One small company, one person reading it, no Power BI in the house: the Excel Finance Overview is simpler and cheaper.
  • Finance Overview Dashboard

Monthly P&L, margins, cash and runway on one dashboard.

Questions people ask about this one

Does it handle more than one company?

Yes, through the entity column and a filter. The sample has three. It adds them up; it doesn't do intercompany eliminations. We'd quote that as custom work.

Can I use my own chart of accounts?

DimAccount takes any account codes and names, any report grouping, in the sort order you set.

Do I need Power BI Pro?

Not to build or use it on your own machine. To publish to the Service and share it, yes, or Premium Per User.

Will you set it up on our ledger for us?

We can. Connecting and mapping one data source is a template tune-up, from €290; more sources is a quote.

Have the measures been tested?

The measures are written for Power BI Desktop but we haven't run them in every setup. If one shows an error in your model, check the table and column names against the guide and tell us.
